ISO 9001:2026 was published on 16 September 2026. For organizations preparing their transition, AI offers practical help with evidence handling, document comparison and analysis. Its value depends on the quality of the sources, the clarity of the task and the competence of the reviewer.
Six practical applications
1. Build a controlled transition knowledge base
Start with licensed standards, certification-body guidance and approved internal procedures. Record the owner, version, approval status and effective date of every source. AI-supported retrieval should cite the controlled source and distinguish facts from interpretations. A general-purpose chatbot should not become the official source of ISO requirements.
2. Accelerate the gap analysis
Use AI for a first-pass comparison between current QMS documentation and transition criteria. It can flag possible gaps, duplicated controls and areas requiring clarification. A qualified reviewer must verify each mapping, confirm applicability and decide whether the evidence is sufficient. Unsupported matches remain hypotheses until verified.

Technical and management review remain essential.

AI can organize complaints, audit findings, supplier issues and process data into themes and review questions. Define the assessment method, scoring rules, data boundaries and decision authority first. Calculate scores and priorities through approved methods. Accountable people decide which risks to accept and which actions to take.
5. Support CAPA investigations
AI can summarize evidence, suggest possible causal chains and compare recurring issues across departments. Treat suggestions as investigation prompts. Root cause, containment, correction, corrective action and effectiveness conclusions require evidence. Record the reasoning behind accepted or rejected hypotheses so that the investigation remains traceable.
6. Prepare management-review information
AI can draft concise review packs from approved KPIs, audit themes, customer feedback, supplier performance and improvement actions. Show sources, reporting periods, definitions, exceptions and unresolved uncertainty. AI may explain metrics; calculations must remain controlled and reproducible. Leaders retain responsibility for decisions and follow-up actions.

1. Obtain the published standard and confirm transition arrangements with your certification body.
2. Assign a transition leader, process owners and qualified reviewers.
3. Establish a controlled requirements-and-evidence register.
4. Complete a human-verified gap analysis.
5. Select one low-risk AI pilot, such as document comparison or evidence retrieval.
6. Define data rules, access controls, prompt/version records and review responsibilities.
7. Update procedures and training through normal approval workflows.
8. Test changes through internal audit and management review.
9. Monitor effectiveness and errors before expanding AI use.
Start with a process and a measurable result
Choose an activity that is repetitive, evidence-heavy and reviewable. For example, compare the time needed to prepare a verified document-gap register with and without AI, while also measuring incorrect mappings, unsupported conclusions and reviewer corrections. Faster preparation is useful only when the resulting evidence remains dependable.
